Virtual or physical office: which one fits your company's stage

If you work alone or remotely and what you need is formality, a virtual office is enough. Once two or three people meet several times a week, a private office beats paying for separate desks.

This is not a matter of taste but of arithmetic and stage. These are the three situations that keep repeating and what usually solves each one.

You work alone and need formality

Your problem is not where to sit: it is that your fiscal address is your mother's house and it shows in the proposal. A virtual office solves all of it: address, mail reception and a room for when you do have to meet.

Coworking by the day or a package of days a month covers this stage without tying you down. Rule of thumb: while the team overlaps less than half the week, a fixed space is paid for hours nobody uses.

When torn between two options, try the smaller one first. Moving up a plan takes a day; getting out of a long lease does not.

The math almost nobody does

When comparing prices, people compare rent against rent and stop there. But a traditional lease comes with attachments that are not in the contract: security deposit, fit-out, furniture, business internet, electricity, cleaning, supplies, coffee and someone to open the door. In a business center all of that is already inside the price, and that is the comparison to make: total monthly cost against total monthly cost, not rent against rent.

The second missing calculation is idle time. Your own space is paid in full even when the team is at a client site three days a week. If your operation is field-based, paying for usage beats paying per square meter, even when the hourly rate looks more expensive on paper.

Signs you undershot

  • You take important calls in your car or in a hallway.
  • You borrow a meeting room more than twice a week.
  • Client parcels arrive at your home.
  • You hired someone and do not know where they will sit.
  • You avoid inviting a prospect to your office.

With two of those signs, changing stage pays for itself. With three, the cost of not changing is commercial: prospects who do not take you seriously and meetings that happen on someone else's ground.
